Privacy Policy

The short version.
We collect what we need to answer your enquiry, build and look after your website, and bill for it. We never sell it or use it for advertising. You can ask to see, correct or delete it at any time. This policy follows the Protection of Personal Information Act, 2013 (POPIA).
1. Who is responsible
The responsible party for your personal information is JVStudio Digital (Pty) Ltd (registration number 2026/508314/07), trading as JV Studio, a web design and development company serving businesses across South Africa.
Information Officer: JVStudio Digital (Pty) Ltd has an Information Officer responsible for POPIA compliance, reachable at sales@jvstudio.co.za.
2. What we collect
When you send an enquiry through the form on our website: your name, cell number, email address, business name and sector, and the project details you choose to share.
When you become a client: the contact and business details needed to deliver and invoice our services, your project records, and a login for the JV Studio Client Portal. Portal passwords are never stored in readable form — only a one-way (bcrypt) hash.
Automatically, when you visit the website:
- Google Analytics records the pages you view, how you arrived (for example a search engine or a link), your device and browser type, and your approximate location (country or city). It sets first-party cookies that recognise a returning browser — see our Cookie Policy. Google Analytics does not store your IP address.
- Simple Analytics counts page views without cookies and without collecting any personal information.
3. Why we use it, and on what basis
- To reply to your enquiry and prepare a proposal — at your request, and in our legitimate interest in responding to it (POPIA s11(1)(f)).
- To deliver, host and support your website, run your Client Portal and invoice you — necessary to perform our agreement with you (s11(1)(b)).
- To keep financial and tax records — required by South African law (s11(1)(c)).
- To understand how our website is used and improve it — our legitimate interest in running a useful website (s11(1)(f)). This information is never used for advertising: advertising storage and Google signals are switched off.
You may object to processing based on legitimate interest at any time (s11(3)) — see section 7.
4. Who else processes it
We never sell, rent or trade personal information. These service providers process it on our behalf, only for the purposes above:
- Netlify — website hosting, server functions and Client Portal data storage (United States)
- Resend — delivery of emails such as enquiry replies and invoices (United States)
- Google Analytics — website statistics (United States and other Google locations)
- Simple Analytics — cookieless page-view counts (European Union)
- Google Fonts and Fontshare — deliver the typefaces on this website; your browser's IP address reaches them when fonts load
Some of these providers store or process information outside South Africa. We only use providers that are bound by data-protection law or agreements giving protection substantially similar to POPIA, as section 72 requires.
5. How long we keep it
- Enquiries that do not become clients: up to 3 years, then deleted.
- Client records: for as long as we work together, then 5 years for financial and tax record-keeping.
- Website statistics: no longer than 14 months (Google Analytics).
6. How we protect it
All traffic to our website and Client Portal is encrypted (HTTPS). Portal access requires a login, passwords are stored only as bcrypt hashes, and "Remember me" keeps only your username on your device — never your password. Access to client data is limited to the people at JVStudio Digital (Pty) Ltd who need it to do their work.
7. Your rights
Under POPIA you may:
- ask what personal information we hold about you, and for a copy of it;
- ask us to correct information that is wrong or incomplete;
- ask us to delete it, where we have no legal reason to keep it;
- object to our use of it, including website statistics — block or delete our cookies in your browser, or install Google's Analytics opt-out add-on; and
- complain to the Information Regulator (section 8).

Our website links to other sites, including the websites we have built for clients. Their privacy practices are their own.
10. Changes to this policy
When this policy changes, the new version is posted here with a new date.
